WhiteVillas operates resort and villa accommodation, taking bookings across Booking.com, Airbnb, Agoda and direct enquiry. Reservations were entered into Guesty as the property management system, upsells were sold through Duve, guest WiFi and email capture ran through Stayfy, and the accounts lived in QuickBooks.
Each of those tools did its own job well. None of them shared what it knew. A reservation in Guesty had no idea an upsell had been purchased in Duve. An email address collected by Stayfy when a guest logged onto the WiFi sat in Stayfy and nowhere else. QuickBooks received nothing automatically, so the financial picture was assembled by hand after the fact.
The cost of that was not only administrative. Without connected data there was no upsell history against a guest, no retargeting audience, and no way to see what a booking was actually worth once everything sold during the stay was counted.
The operation worked because people held it together. Every gap between two systems was filled by someone re-entering data, and every piece of information that never made it across was revenue or insight that quietly disappeared.
Reservations came in through Booking.com, Airbnb, Agoda and direct calls, then had to be listed into Guesty manually. Every channel was a separate entry point with a person in the middle of it.
Duve handled upsells during the stay, but nothing synced back. The reservation record showed what a guest booked and not what they actually spent, so the real value of a stay was never visible in one place.
Stayfy captured email addresses when guests joined the network, which is the single best moment to capture a guest. That data stayed in Stayfy, so no upsell campaign and no retargeting was possible against it.
QuickBooks had no link to Guesty, so bookings and transactions were reconciled manually and financial reporting always lagged behind what had actually happened.
A returning guest looked like a new booking. Without one record holding reservations, upsells and contact details together, there was no segmentation, no lifecycle and no basis for marketing to past guests.

The first work was mapping how a booking actually moves through WhiteVillas, from the channel it arrives on to the upsells sold during the stay to the transaction that lands in the accounts. The integration was designed against that flow rather than tool by tool.
