Project Overview
TRT Australia has launched a comprehensive client portal that centralizes the therapy journey for subscription users, allowing them to upload bloodwork, view doctor reviews, and track GP physical progress directly from a unified dashboard. This streamlined system enables patients to submit medical information, receive medication recommendations, and manage resupply requests through a seamless flow that includes invoicing and shipment tracking. On the backend, the HubSpot portal empowers the Customer Service team to validate data, coordinate reports with doctors, and process pharmacy orders efficiently. The entire ecosystem is supported by HubSpot Workflow Automations that notify all stakeholders at every stage, while custom functional properties automatically calculate critical recurring timelines like the next bloodwork submission and medication resupply dates.

Before the portal, TRT Australia’s patient data was scattered across disparate channels—generic forms, email threads, and manual invoices. This fragmentation meant patients had no single "home" to view their bloodwork history, track physical progress, or manage medication requests, leading to a disjointed and confusing therapy journey. -
Manual Operational Bottlenecks
The internal team faced significant administrative overhead by acting as manual connectors between patients, doctors, and pharmacies. Without automation, Customer Service had to manually validate email submissions, forward data to doctors for reporting, and individually create invoices, creating a slow workflow prone to human error and delays in treatment delivery. -
Lack of Visibility on Recurring Care
Patients lacked transparency regarding their ongoing treatment schedule. Without a dedicated dashboard to calculate and display critical dates—such as the "Next Bloodwork Submission" or "Medication Resupply Date"—patients had to rely on memory or reactive support tickets to know when to take the next step, resulting in missed reviews or gaps in medication.

Patients can log in to view their current bloodwork status, doctor reviews, and GP physical progress without needing to email support.
Users can directly upload new bloodwork, request medication resupplies, and pay invoices instantly within the portal.
From "Review Pending" to "Shipped," patients have full visibility into their request status, including live shipment tracking codes for medication delivery.
The Client Portal: Empowering the Patient
HubSpot-Integrated Operational Workflow
The Customer Service team uses dedicated views to see who submitted bloodwork, validate the data, and coordinate with doctors to generate and finalize reports.
The system connects the financial and fulfillment stages; once the team validates a request and the user pays the invoice, the request is automatically moved to the pharmacy order sheet for delivery.
Specific views were created for "Blood Work Review," "Medication Resupply," and "Pharmacy Order Sheet" to organize team tasks.

Automated Lifecycle & Scheduling Logic
We created functional properties to automatically calculate critical future dates, such as "Medication Resupply Offset," "Next Medication Date," and "Next Bloodwork Date".
HubSpot Workflow Automations were deployed to automatically notify contacts, customer service teams, and doctors according to the current stage of the treatment cycle.
Because of these calculations, users can easily see their next submission and resupply dates, keeping them on track with their treatment.
