Is HubSpot Free CRM Really Free, or Are There Limits?

Most articles on this question go one of two ways. Either they repeat HubSpot’s marketing copy and call the free CRM perfect, or they list vague "limitations" without real numbers. This guide does neither. Every limit below comes from HubSpot’s own published pricing documentation, checked in September 2026, with the exact figures instead of guesswork.

1

The Part Almost Nobody Gets Right: Contact Storage Is Not the Limit

Most comparisons of free CRMs lead with contact caps, since that is how most free tools ration their product. HubSpot does it differently. The free CRM stores up to 1,000,000 contact records and 1,000,000 company records, the same ceiling that applies to every paid plan (Source: "HubSpot Free CRM Pricing Page"). For a small business coming off spreadsheets, that number is functionally unlimited.

The catch is a separate metric called marketing contacts, which is the subset of your database you are allowed to send marketing email to or target with ads. Storing a contact is free. Emailing a contact through HubSpot’s marketing tools is what gets metered and billed. This distinction is the single most misunderstood part of HubSpot’s pricing, and it is why "how many contacts can I store" and "how many contacts can I market to" have two completely different answers.

The Real Limits on HubSpot’s Free CRM

Here is what actually constrains the free plan, in the order most small businesses run into them.

One Deal Pipeline

The free plan gives you a single sales pipeline. If you sell more than one product line, run separate pipelines for new business versus renewals, or serve more than one region with a different sales process, you cannot separate them without upgrading. Everything runs through one pipeline with one set of stages.

Two User Seats

Free accounts include 2 users. A third team member who needs their own login requires a paid seat. This is usually the first hard wall a growing team hits, often before any content or reporting limit becomes a problem.

2,000 Marketing Emails a Month, With HubSpot Branding

The free plan includes 2,000 marketing email sends per calendar month, and every one of them carries a "sent via HubSpot" footer you cannot remove. For a newsletter to a small list this is often enough. For anything resembling a real email marketing program, both the volume and the branding become limiting fast.

One Automated Action

This is the limit most small businesses do not expect. The free plan allows exactly one automated action, not a full workflow builder (Source: "HubSpot Free CRM Pricing Page"). You cannot chain a sequence like "if a form is submitted, wait two days, then assign a task, then send a follow-up email." That level of automation sits behind paid plans, specifically Sales Hub and Marketing Hub Professional and above.

Branded Templates, Meeting Links, and Live Chat

The free plan includes 3 email templates, 1 personal meeting scheduling link, and a live chat widget, and all three display HubSpot branding. Paid plans raise the template count, allow multiple meeting links per user, and let you remove the branding entirely.

Community Support Only

Free accounts get access to HubSpot’s community forum and help documentation. There is no direct email, chat, or phone line to HubSpot support. Paid plans add real support channels, with response time and access improving at higher tiers.

Ten Reporting Dashboards, Fifty Reports Each

Reporting is more generous than most free CRMs, with 10 dashboards and up to 50 reports per dashboard. What is missing is the custom report builder, which lets you build a report from any property combination instead of picking from HubSpot’s standard set. That builder is a paid-plan feature.

When the Free Plan Is Genuinely Enough

The free CRM is a real product, not just a trial. It fits a business with one or two people handling sales, a single sales process that does not need separate pipelines, an email list under 2,000 sends a month, and no need for automated follow-up sequences yet. A lot of very early-stage businesses fit that description exactly, and paying for a CRM before you need to is money spent on features that sit unused.

4

The Signs You Have Outgrown It

A few signals tend to show up in this order: a third person needs a login, you want to stop manually sending the same three follow-up emails, you need a second pipeline for a new product or region, or a prospect asks why your meeting link and emails say "powered by HubSpot." Any one of these is a reasonable trigger to look at Starter-tier pricing rather than waiting until the free plan breaks something.

5

Frequently Asked Questions

Is HubSpot CRM really free forever?

Yes. The core CRM, contact and company storage, deal tracking, live chat, and basic reporting have no expiration date and no credit card requirement. The free plan is a permanent tier, not a trial.

How many contacts can I store on HubSpot’s free plan?

Up to 1,000,000 contact records and 1,000,000 company records, the same limit as paid plans. Storing contacts is free regardless of tier. What is metered separately is how many of those contacts you can send marketing email to.

Does HubSpot’s free plan include marketing automation?

Only in a very limited form, one automated action rather than a multi-step workflow. Real automation, like triggered email sequences or task assignment chains, requires Sales Hub or Marketing Hub Professional or higher.

Can I remove HubSpot branding on the free plan?

No. Marketing emails, meeting links, forms, and live chat all display HubSpot branding on the free plan. Removing it requires a paid plan.

How many users can use HubSpot’s free CRM?

Two users are included at no cost. Additional team members need a paid seat.

6

The Bottom Line

HubSpot’s free CRM is genuinely free, not a disguised trial, and the contact storage is generous enough that most small businesses will never hit it. The real limits are the pipeline count, the automation cap, the branding, and the seat count, not the things most comparison articles focus on. If you are trying to work out whether your business has already outgrown the free tier, or want your HubSpot instance, free or paid, actually configured to fit how your team sells, HubXpert’s HubSpot admin and technical support team can walk through your specific setup and tell you plainly whether an upgrade is worth it yet.
