Connecting HubSpot to Clio Manage: Fixing the Deal-to-Matter Gap
A deal closes in HubSpot. The client is ready to sign. And nothing happens in Clio. No matter, no case number, no record the rest of the firm can see. Someone on staff opens Clio, types the client in by hand, and hopes they copied every detail correctly.
This is not a setup mistake. It is what the native HubSpot-Clio integration actually does, and does not do, by design. Here is exactly where the gap sits and how to close it.
Why HubSpot & Clio Don't Sync the Way You'd Expect

Most firms assume that connecting HubSpot to Clio means the two systems talk to each other end to end. They do not. The integration exists, but it was built to solve one specific problem, and matter creation is not it.
HubSpot integrates with Clio, the industry's leading legal practice management and client intake software, through a listing in the HubSpot App Marketplace. That listing is real and functional. It is also narrower than most firms expect when they connect it.
What the Native Integration Actually Does (and Doesn't)

Contact and company sync, confirmed working
The native connection reliably keeps contact and company records aligned between the two systems. When a prospect's phone number or email changes in one system, it updates in the other. This part works as advertised and needs no additional setup.
The deal-to-matter gap, confirmed missing
This is where the sync stops. A HubSpot user working through this exact setup described the integration as just a plain contact sync more or less, and after testing Zapier and other automation tools directly, concluded that it really is an all or nothing sync at this time. They ended up creating the matter manually within Clio after the deal is won in Hubspot.
This is not an isolated complaint. A formal feature request sitting in HubSpot's own community asks for exactly this: If Deal Status = Retained/Won, then create Company/Client/Matter in Clio Manage. As of this writing, that request has not been built. Treat the native integration as a contact sync tool only, not a matter creation tool.
Should You Be Using Clio Grow Instead?

Before building a fix, it is worth asking whether HubSpot is even the right tool for this job. Clio sells its own CRM, Clio Grow, built on the same data model as Clio Manage, with no sync gap at all since both come from the same vendor.
The honest case for staying on HubSpot instead of switching to Clio Grow comes down to two things.
First, HubSpot's marketing automation, content tools, and reporting go well beyond what Clio Grow offers, which matters for firms running active lead generation across paid ads, SEO, and email.
Second, most firms in this position already ran HubSpot for years before adopting Clio Manage, and the cost of migrating years of marketing history and workflows outweighs the sync problem. If your firm's HubSpot use is limited to a handful of contact records and no real marketing activity, Clio Grow is worth a serious look before you build anything below.
Building the Fix: A Deal-Won-to-Matter Workflow

Closing this gap requires a third-party automation layer sitting between the two systems. None of the platforms that do this (Zapier, Make, Albato) are built specifically for law firms, so the workflow has to be built by hand rather than dropped in from a template.
Choosing an automation layer
Zapier has the most existing Clio and HubSpot triggers already built, which makes initial setup faster. Make handles more complex conditional logic if your matter creation rules vary by practice area or deal value. Either works. Pick based on whether your firm has someone comfortable building multi-step logic, or needs the simpler point-and-click setup.
Mapping deal properties to matter fields
HubSpot deal properties and Clio matter fields do not line up automatically. Practice area, responsible attorney, and matter type all need to be manually mapped the first time, and any custom field added later on either side needs the same manual update. Budget real setup time here rather than assuming a plug-and-play connection.
Handling historical data
The workflow you build only fires going forward. Most native integrations are forward-looking, meaning they only sync data created or updated after you activate the connection, and the same limitation applies to a custom Zapier or Make workflow. Deals won before the automation goes live need a one-time manual export and import. Do not expect a backfill.
What Still Requires a Manual Step

Even with the workflow built and running, a few things stay manual on purpose, and one of them is not optional.
A conflict check should run before a deal is marked won in HubSpot, not after a matter is auto-created in Clio. Automating matter creation off a won deal means the conflict check has to happen earlier in the pipeline, or the automation is creating matters for clients the firm should never have taken on. Custom field mapping also needs a human eye on the first pass. Complex custom field mappings may require JavaScript knowledge, and rate limits imposed by Clio and HubSpot APIs may affect high-volume data syncs, so a firm running dozens of deals a week should test the workflow under real volume before trusting it fully.
A Practical Setup Checklist
- Confirm the native HubSpot-Clio integration is connected and syncing contacts before building anything else on top of it.
- Decide whether Clio Grow solves this more simply than a custom workflow, based on how much marketing activity actually happens in HubSpot.
- Choose an automation platform and build the deal-won trigger with practice area and attorney assignment mapped explicitly.
- Move the conflict check earlier in the HubSpot pipeline, before a deal can reach the won stage.
- Run a manual export and import for any matters that closed before the automation went live.
- Test the workflow against a full week of real deal volume before relying on it for every new client.
