What Is a White Label Service & How the Model Works

White labeling is a partnership where one company builds a product or delivers a service, and another sells it under its own brand. The white-label provider handles the work behind the scenes, while the reseller manages the customer relationships, branding, and sales.

The reseller can customize the experience with its own logo, colors, domain, and support content, making the product or service feel like its own. Customers see the reseller's brand, while the technology, infrastructure, and operations powering the service remain behind the scenes.

That one idea shows up in grocery stores, banks, software, and marketing agencies. The idea is simple in every industry. Let’s look more closely into it and know more about how the white label service model works and everything around it.

1

What Is a White Label Service in Simple Way?

It is a service built by one company and sold by a second company as its own. The name comes from retail packaging. A blank white label sat on the box, and the seller filled in its own brand. (Source: "White-label product")

A white label service swaps the box for labor. The thing you buy is skilled work, such as a website build, a CRM migration, or a set of email workflows. Your agency sells that work to its own client and puts its name on the result.

If you search for white label services meaning, you will see two different things: ready-made products and hands-on work. This guide is about the hands-on kind.

So what are white label services in everyday business? They are any job where the customer deals with one company while a second company does some or all of the work.

2

What Are the Different Types of White Label Services?

What are white label services if you sort them by what changes hands? Finished goods, finished software, or skilled work. The white label services meaning shifts a little in each case, and the table below sorts them out.

Type

What changes hands

Example

Who the customer sees

White label service

Skilled work, done to order

A HubSpot migration built by a partner and delivered by an agency

The agency

White label software

A finished app the reseller rebrands

A tool sold to agencies that they resell under their own name

The reseller

White label product

The same goods with a different label

Store-brand food made by a company that supplies several chains

The retailer

Private label

Goods made to one brand's own specs

A store brand made only for that store

The brand

White label and private label get mixed up often. The short version: white label is usually one product sold to many resellers with light changes, while private label is built for a single brand.

How Does a White Label Service Work, Step by Step?

The agency sells to the client and owns that relationship. The provider does the work in the background. The client only ever sees the agency. Once the agency wins the deal, delivery follows a set path. This is the flow we use at HubXpert:

  1. Scope. The agency and the provider hold a scoping call. The provider writes a requirements document, and the agency signs off before any work starts.
  2. Build. The provider's specialists do the work against that document.
  3. QA. The provider tests every piece of work and checks it against the original scope before it ships.
  4. Handoff. Documents and training notes arrive in the agency's branding, along with the files.
  5. Support window. A defined period after launch covers anything that shows up once the client uses the work for real.

An NDA covers the whole engagement. At the end, the files and documents belong to the agency, so the client never depends on the provider.

4

Who Uses White Label Services?

Retailers, banks, software companies, and agencies all use them, because each has something to sell that it would rather not build alone.

Grocery chains are the easy example. Many store-brand foods come from companies that supply several supermarkets and change only the labels. Smaller banks sometimes pay larger banks to run their credit card processing, then print their own name on the cards. In Australia, Cuscal supplies card and transaction products to credit unions this way. (Source: "White-label product")

In marketing and technology, agencies are common buyers. They white label web builds, SEO, paid ads, IT support, and CRM work, so they can sell more than their own team can staff.

Picture a nine-person agency that sells HubSpot onboarding. It closes a client who wants Salesforce data moved into HubSpot, including custom objects. The agency's one RevOps lead is booked for six weeks. The agency can turn the deal down, hire for a single project, or bring in a partner that has built migrations like this before. That third option is what white labeling services are built for.

We see this in our own work. One agency, an Elite-tier HubSpot partner, needed a custom card inside HubSpot that fills in address fields from the Google Places API. We built it in two weeks on a HubSpot Enterprise portal, and the case study reports a 60% drop in time spent on manual entry. See the custom card we built for an Elite HubSpot Partner. The agency's name stays private, which is how this model is meant to work.

Why Do HubSpot Agencies Use White Label Services?

HubSpot's partner tiers reward selling and keeping accounts, not build hours, so an agency can sell more work than it has builders for.

HubSpot builds partner tiers from points. Sourced points come from selling and closing deals. Assisted points come from helping close deals HubSpot sourced. Managed points come from servicing existing customers.

Points are awarded per $100 of monthly recurring revenue, so hours spent building do not count. For scale, HubSpot's table for January 2027 puts Gold at 115 sourced points. That equals about $2,300 in new monthly subscription revenue from customers outside its growth markets. (Source: "How do Tiers and Tier Points work?")

Retention and reputation count too. Diamond partners need at least 75% average gross revenue retention, and Elite partners need 80%. HubSpot also says a partner in good standing has no current or recent escalations where the partner was at fault. (Source: "How do Tiers and Tier Points work?")

New partners also face a clock. A partner must reach Gold within 24 months of joining, or it loses its place at the next tier review. (Source: "HubSpot Solutions Partner Program Policies")

That mix puts pressure on delivery. Sales have to keep coming, and every build must be good enough that the client stays.

For a HubSpot agency, what is a white label service in practice? It is delivery capacity you rent from a team that already knows the platform. Our HubSpot white label services cover onboarding, migrations, integrations, theme and module development, reporting, and portal admin, all shipped under your brand.

What Does HubSpot's Partner Agreement Say About Contractors?

The agreement makes the partner responsible for its contractors. It says a partner must make sure its employees, consultants, contractors, and agents follow the agreement, the program policies, and the code of conduct. If your provider slips, the problem lands on your agency.

It also limits who can see confidential information. That information can go only to contractors who signed their own confidentiality agreements, with protections no weaker than the ones in HubSpot's agreement. So a signed NDA with your provider is a must, not a nice extra.

One more line matters for the "invisible" promise many providers make. The agreement warns that information about a partner in a client's portal may be visible to all of that portal's users. The client sets those user permissions. Staying invisible in email and branding is easy to promise. Inside the portal, it is not guaranteed. (Source: "HubSpot Solutions Partner Program Agreement")

One question we could not answer from HubSpot's documents: how does a contractor's work count toward your managed points? We found no rule on it. HubSpot's tier page says managed credit lapses after 60 days with no activity in a client's portal. If your provider does all the portal work, ask your HubSpot partner contact how that is treated before you plan around it.

Clients who hire a HubSpot partner expect that partner to answer for the work, whoever does the typing. Our page on why businesses hire HubSpot partners shows what clients look for.

How Is White Label Work Priced?

The provider charges the agency a wholesale rate, and the agency charges the client its own price. The gap between the two is the agency's margin.

Providers of white labeling services price this in a few ways: by the hour, by the project, or on retainer. On HubXpert's current on-demand plan, work starts at $50 an hour, with a 10-hour minimum per engagement and no retainer. Agencies with steady volume can ask for a custom model.

Here is a simple example, and the numbers are only an illustration, not a benchmark. A project takes 40 hours at $50, so it costs the agency $2,000. If the agency quotes the client $4,000, it keeps $2,000 before paying for its own project management and review time. Those two jobs are real work, so count them.

8

When Does a White Label Service Not Fit?

It does not fit when the build is what clients pay you for. It also fails when you cannot describe the work well enough for someone else to do it.

  • Your edge is your own craft. If clients hire you for a method you wrote or a build style only your team has, handing the build away weakens what you sell.
  • Your workload is steady. When the same hours show up every month, a full-time hire may cost less per hour than a partner rate.
  • A client contract limits subcontractors. Some clients name who may touch their data. Read the contract before you promise anything.
  • Your scopes are vague. A partner can only build what the brief says, and unclear briefs turn into rework that eats your margin.

FAQs

Is white label the same as outsourcing?

White label is one kind of outsourcing. In both, another company does the work. The difference is the label. With white label, the client sees only your brand. Plain outsourcing or subcontracting can put the vendor in front of your client. Your contract decides which one you get, so spell out who talks to the client.

What should a white label service agreement cover?

It should cover scope, price, timelines, who owns the finished work, confidentiality, and who speaks to the client. Add how revisions work and what happens if either side ends the deal. HubXpert engagements run under an NDA, and all assets and documentation transfer to the agency at completion. Have a lawyer review the final version.

Will my clients know I use a white label partner?

Not if you set it up that way. The partner signs an NDA, delivers files and training in your branding, and stays out of client communication unless you invite it. HubXpert works this way. The one thing to plan is portal access, because anyone who builds inside a client's HubSpot portal needs a login.

How fast can a white label partner start?

It depends on the partner. HubXpert's on-demand work typically starts within 3 to 5 business days after the scope is confirmed. Rush work under 48 hours can carry a priority fee. Starting fast depends on a clear brief, so the scoping call and written requirements come first.

Final Thoughts

Take your last five proposals. Mark each one you slowed down, discounted, or lost because nobody on your team could build part of it. If the same kind of work keeps showing up, such as migrations or custom integrations, that is your white label scope.

Start with one project, not a retainer. Write the brief, ask the provider to confirm it in writing, and review the first handoff yourself. So what is a white label service worth to your agency? After that first project, your own numbers will tell you.
