HubSpot CRM Integration With Business Intelligence Tools
HubSpot CRM stores valuable data about your contacts, deals, sales activities, and customer journeys. Connecting it with business intelligence (BI) tools helps you turn that data into clearer reports, deeper insights, and more informed business decisions.
With the right integration, you can combine HubSpot data with information from other business systems, build custom dashboards, and track performance beyond standard CRM reports. In this guide, you’ll learn how HubSpot CRM integration with business intelligence tools works, which integration methods to consider, and how to build a reporting setup that supports your business goals.
Every limit and requirement below was checked against vendor documentation on October 28, 2026. Several features are in beta, and plans and product names change often. Confirm the details in your own account before you buy anything.
What Are The Ways To Connect HubSpot CRM To A Bi Tool?
There are four: a direct connector, a warehouse copy, a custom database integration, and reverse ETL. They differ in where the data lives and which way it moves.
|
Route |
How data moves |
Best when |
Watch for |
|
Direct connector |
The BI tool reads HubSpot through an app or API connector |
One BI tool, one data source, a small team |
Refresh limits and API call counts |
|
Warehouse copy |
An ELT tool or HubSpot's Snowflake Data Share copies HubSpot data into a warehouse |
You join HubSpot with billing, product, or ERP data |
Cost per synced row, deletes, merges |
|
Custom database integration |
Custom code or middleware syncs HubSpot with your own database |
Your app or database must read and write HubSpot records |
Rate limits, error handling, upkeep |
|
Reverse ETL |
A tool pushes modeled warehouse data back into HubSpot properties |
Sales needs scores or segments computed in the warehouse |
Overwriting fields that reps edit by hand |
A warehouse is a database built for reporting. ELT means extract, load, transform: a tool copies raw data into the warehouse first, and you shape it there. Reverse ETL runs the other way.
The BI tool itself, such as Power BI, Tableau, or Looker Studio, sits on top of whichever route you pick. It rarely decides the route.
How Do You Move HubSpot Data Into A Warehouse?
Use HubSpot's Snowflake Data Share if you have Data Hub Enterprise and Snowflake. For any other setup, compare ELT tools such as Fivetran or Airbyte.
The Data Share lets you query your HubSpot data inside Snowflake with SQL. It needs a Data Hub Enterprise subscription and an active Snowflake account, and you pay the Snowflake costs. If your HubSpot account has HIPAA turned on, you need a Snowflake Business Critical account. (Source: "Connect HubSpot and Snowflake Data Share")
An ELT tool pulls HubSpot data through the API on a schedule. Fivetran's HubSpot documentation shows what that means in practice. Syncs are incremental, so only changed rows move. Email events from the last 25 hours are fetched again each run to catch HubSpot's processing delays. History mode adds a row for every property change, which raises the monthly active rows that Fivetran's pricing counts. (Source: "Fivetran HubSpot connector")
The Data Share is built for Snowflake. If you use BigQuery, Redshift, or Databricks, check HubSpot's current options in your account first, then compare ELT tools.
How Does HubSpot Database Integration Work?
A HubSpot database integration is custom code or middleware. It reads and writes HubSpot records through the API and keeps a database on your side in step.
Choose it when HubSpot must react to your data, not only report on it. An order table might update a deal. A billing database might create a renewal task. Teams that need a HubSpot database integration with their own matching rules can scope it as a HubSpot integration project. The logic is a build, not a setting.
Every route that uses the API shares the same ceiling. HubSpot limits private apps by plan:
|
Plan |
Burst limit per app |
Daily limit per account |
|
Free and Starter |
100 calls per 10 seconds |
250,000 |
|
Professional |
190 calls per 10 seconds |
625,000 |
|
Enterprise |
190 calls per 10 seconds |
1,000,000 |
The daily limit is shared by every app in the account, so a BI connector and a custom sync draw from the same pool. The API limit increase add-on raises both numbers. The CRM Search API and the Associations API have stricter limits of their own. Past a limit, HubSpot returns a 429 error until the window resets. (Source: "API usage guidelines and limits")
What is Reverse ETI & Which Companies Offer A HubSpot Connector?
Reverse ETL copies modeled warehouse data back into HubSpot properties, so reps see scores and segments where they already work.
Take a product usage score calculated in Snowflake. A reverse ETL tool writes it to a custom contact property on a schedule, and a HubSpot list or workflow can act on it.
If you search "reverse ETL companies HubSpot integration," you will find many vendor pages. These three have public documentation that was reviewed for this guide:
-
HubSpot Snowflake Direct Sync (beta): a one-way sync from a Snowflake table or view into HubSpot objects. It runs on a schedule, not in real time. A table can hold up to 10 GB and 200 columns. A run handles up to 30 million records. Filtering must happen in a Snowflake view. It needs Data Hub Enterprise. (Source: "Sync Snowflake data to HubSpot")
-
Hightouch: syncs to standard and custom HubSpot objects in upsert, update, or insert mode. A custom object must exist in HubSpot first, and read-only HubSpot fields cannot be mapped. (Source: "Hightouch HubSpot destination")
-
Fivetran Activations: Fivetran agreed to acquire Census, a reverse ETL company, in May 2025, and its documentation now lists an Activations product for this job. (Source: "Fivetran signs agreement to acquire Census")
This guide does not compare prices or speed. Vendor pricing changes often, and the documents above do not cover it.
Whichever tool you pick, write results to their own custom properties. A sync that writes to a field reps edit by hand can overwrite their changes on the next run.
How Should You Model HubSpot Data For BI?
Settle four things before the first dashboard: primary associations, stage timing, merged records, and deleted records.
HubSpot lets a deal link to several companies. If a query joins deals to companies without a filter, one deal can show up twice and revenue doubles. The connector documentation above shows a query that keeps only the association labeled Primary.
For stage timing, HubSpot's API returns only the date a deal entered each stage. A tool has to infer the exit date from the next stage. Time in stage is therefore a calculated number, and two tools can calculate it differently.
Merges and deletes need rules too. When you merge two contacts, the connector keeps the merged IDs in a column. Merged companies are flagged as deleted. HubSpot's API has no delete signal for every table. So the connector uses webhooks for companies, contacts, and deals, and a once-a-day check for tickets and several other tables. A record deleted for good between checks may never get flagged.
Write these rules in a short data dictionary. Name the source of truth for revenue, the primary association, and the person who approves new properties.
What Breaks Most Often?
Plan for three failure points: API limits, unclear definitions, and no owner.
A new connector can start pulling every record on day one. If it shares the daily pool with a form sync or a workflow integration, one of them can start returning 429 errors. Super Admins can review API call usage in HubSpot, so check it after you add any connector.
Definitions fail quietly. Marketing may count a sales qualified lead one way and sales another. The BI tool shows both numbers side by side and settles nothing. Agree on each definition in writing before you build charts.
Ownership fails slowly. Renaming or deleting a property can break a report that reads it. One person should approve property changes and sync changes, and that person should know which dashboards depend on them.
How Did HubXpert Fix The Sync Behind A Finance Client's Reporting?
This project was not a BI build. It shows the upstream work that a dashboard depends on.
HubXpert worked as a white-label partner for a financial services company, in a two-week project on Sales Hub Professional and Operations Hub Enterprise. The finance solutions provider case study has the full write-up.
Client form submissions from a third-party system, Redflag, were not updating HubSpot records consistently. Workflows sent repeat alerts, and submissions had no clear naming, so the team could not tell where each one came from. We found the integration issues behind the gaps, re-mapped the integration, and set up custom properties for the data.
We also changed the workflows to stop duplicate alerts and gave every submission a name that shows its source and purpose. The case study reports that 100% of submissions updated accurately in HubSpot afterward.
The lesson for BI is plain. A dashboard cannot repair a sync that drops or duplicates records. Consistent naming also lets a report group submissions by source. Fix that layer first, then build the report.
How Do You Choose A Route For HubSpot CRM Integration With Business Intelligence Tools?
Start with the smallest route that answers your question. A direct connector is the quickest to try, and you can move to a warehouse when your joins demand it.

Why |
|
The question lives entirely inside HubSpot |
HubSpot reports |
No extra system to run |
|
One BI tool, no warehouse, small team |
A marketplace connector |
Fastest to try, limited to HubSpot data |
|
HubSpot joined with billing or product data, and you use Snowflake with Data Hub Enterprise |
Snowflake Data Share |
HubSpot data queryable in your warehouse |
|
HubSpot joined with other data, on another warehouse or without Data Hub Enterprise |
An ELT tool |
Works from the API, usage-based cost |
|
Warehouse scores must show on HubSpot records |
Reverse ETL or Snowflake Direct Sync (beta) |
Writes results back to custom properties |

Your app or database must read and write HubSpot records |
A custom database integration |
Matching rules and error handling are yours to define |
FAQs
Does HubSpot have a built-in Power BI connector?
We found no HubSpot connector built by HubSpot or by Microsoft. HubSpot's marketplace lists third-party Power BI apps instead, such as the Datawarehouse.io Power BI Integration, which needs its own paid subscription. Check the Get Data list in your version of Power BI before you buy, since connector lists change. (Source: "Power BI Integration on the HubSpot Marketplace")
Why do my BI numbers not match HubSpot?
Pick one deal and compare it in both places. Check the last sync time first. Then look for a merge or delete that the sync missed. Last, check whether a join to companies turned that one deal into two rows. Each check takes a few minutes and points to a different fix.
What should I send from HubSpot to the BI tool first?
Start with the question, not the field list. For pipeline reporting, that usually means deals, companies, owners, pipeline stages, and the history of the deal stage property. Add marketing or service data only when a dashboard needs it. Each extra table adds syncing cost and another place for numbers to disagree.
When Do HubSpot's Own Reports Stop Being Enough?
They stop being enough when the question needs data HubSpot does not hold, or when analysts need SQL access to every record.
If the question lives inside HubSpot, such as deals by owner or leads by source, stay with HubSpot reports. A warehouse adds cost and upkeep. It also adds a second place where numbers can disagree.
A warehouse earns its place when you join deals with invoices from a billing system, or product usage with renewal dates. It also helps when analysts want the change history of a property available in SQL.
What does a HubSpot BI integration cost?
It depends on the route, so no single price is reliable. Costs come from your HubSpot plan, since native Snowflake features need Data Hub Enterprise. They also come from warehouse fees, ELT usage, and BI licenses. An API limit increase add-on may add to the bill if a sync hits the daily ceiling.
Final Thoughts
Pick the smallest route that answers your question, and write down what each number means before you build a chart. Review your HubSpot CRM integration with business intelligence tools the way you review any other system. New properties, plan changes, and API limits all affect it.
If you are also moving to HubSpot from another CRM, finish the HubSpot migration first. Dashboards built on records that are about to move may need to be rebuilt.
