How to Choose a White Label Company Without Getting Burned
Businesses hire a white label company to do work or make products that they then sell under their own names. Your client sees your brand. If the work goes wrong, the client still blames you, not the team behind the scenes.
That makes this a trust decision more than a price decision. This guide shows how to vet a company and what to check when you compare providers in the USA. It also covers the contract terms that protect your own clients if something breaks.
What Types of White Label Companies Can You Hire?
It stays behind someone else's brand. It builds the product or does the work, and you sell the result under your name.
In digital work, that usually means a job rather than a box: a website, an ad account, a CRM build. Some companies answer client calls under your name. Others stay silent unless you invite them in. That choice belongs in the contract, not in a sales call.
So what is a white label company in plain terms? It is a vendor whose product is your delivery capacity.
Three types cover most hires: a specialist firm, a generalist network, and a freelancer. They differ in who does the work and where the risk sits.
|
Type |
Who does the work |
Where the risk sits |
Fits best when |
|
Specialist firm |
A team built around one platform, such as HubSpot |
Capacity during busy weeks |
You need deep platform work, like migrations or integrations |
|
Generalist network |
Many outside vendors, run by one account team |
Quality varies by vendor, and you may not see who touched your work |
You need many services, such as SEO, ads, and design |
|
Freelancer |
One person |
One sick day or one new full-time job stops everything |
The job is small and well scoped |
None of these is better in general. The risk you can least afford should decide.
How Do You Choose a White Label Company?
Ask for things a brochure cannot fake. Every vendor page says "quality" and "scalable." A scoping call shows what is behind the words.
Use these questions on that call:
- What have you built that looks like my project, and can I speak to a reference?
- Who will do the work, and who reviews it before it reaches me?
- What happens when a client changes the scope halfway through?
- What happens if your lead person is out for two weeks?
- Which of your people will have access to my client's accounts?
Ask the white label company to answer in writing. A vendor that dodges that is telling you something.
Then run a paid pilot before any big commitment. At HubXpert, the minimum engagement is 10 hours, which is $500 at the $50 starting rate. Judge the first delivery yourself: Was the brief understood? Did the documents make sense? Was it on time?
Your clients are vetting you the same way. Our page on why businesses hire HubSpot partners shows what they look for, and it makes a fair checklist to hold your own provider to.
White Label Companies in USA: What to Check Before You Sign
A US address on a website proves little. Check who you are contracting with, and where.
- The legal entity. The contract should name a registered business. Look it up in the state's business registry and match the name to the one on the invoice.
- Governing law. Find out which state's law applies and where disputes would be heard. A court far from you is hard to use.
- Hours of overlap. "US time zone support" on a site is a promise. Named hours that overlap with your day, written into the contract, are a commitment.
- Invoicing and paperwork. Ask which entity will bill you, what payment terms apply, and what tax paperwork it will supply. Your accountant can tell you what you need.
- Insurance. Ask for proof of professional liability coverage. If the work touches client data, ask about cyber coverage too.
Searches for white label companies in USA mostly return ranked lists. When we looked, some of the top lists sat on unrelated sites, such as forums and nonprofit pages. A list like that is usually an ad for whoever wrote it.
This guide does not rank vendors. We sell this service, so any ranking from us would be an ad too. Run the checks above on us, and on everyone else.
Which Contract Terms Protect Your Clients?
Six terms matter most. Each one covers a way your client can get hurt through you.
|
Term |
What it should say |
What goes wrong without it |
|
Confidentiality |
The company keeps your client's data and name private, and its staff sign the same terms |
Client data leaks, and the trail leads back to you |
|
Ownership of the work |
The company assigns all rights in the finished work to you, in writing |
The company may still own what you sold |
|
Client contact |
The company may not contact or pitch your client during the deal or for a set time after |
The company sells to your client directly |
|
Data and access |
Who may enter client accounts, how access ends, and what happens to files at the end |
Old logins stay open after the job is done |
|
Scope and support |
What is included, how many revision rounds, and a support window after launch |
Every small request becomes a dispute |
|
Liability and exit |
Who pays for errors, how much notice ends the deal, and a full handover of files and documents |
You cannot leave without losing the work |
The ownership row deserves a closer look. US copyright law counts a contractor's work as "made for hire" only in narrow cases. The work must fall into one of nine listed categories, and both sides must sign an agreement that says so. Custom workflows and integrations are not obviously on that list. So do not lean on the phrase "work made for hire." Ask for a written assignment of all rights to you. (Source: "Works Made for Hire")
Rules on client-contact clauses vary by state, so have a lawyer review the final contract. Ask the white label company to send its standard terms early, before you are emotionally committed to the project.
What Extra Checks Apply to HubSpot Work?
If the work happens inside HubSpot, your duties as a HubSpot partner reach your contractor too.
HubSpot's partner agreement says a partner must make sure its contractors and agents follow the agreement, the program policies, and the code of conduct. It also allows confidential information to go only to contractors who signed confidentiality agreements with protections no weaker than its own.
It also warns that information about a partner in a client's portal may be visible to that portal's users. So decide how your provider's access will work before the project starts. (Source: "HubSpot Solutions Partner Program Agreement")
Reputation is at stake as well. HubSpot says a partner in good standing has no current or recent escalations where the partner was at fault. A sloppy build by your provider can become your escalation. (Source: "How do Tiers and Tier Points work?")
For credentials, HubSpot lets you filter its Solutions Directory by accreditation. Accredited partners are re-checked every two years, and the process includes customer references and interviews with HubSpot experts. (Source: "HubSpot Accreditations")
Our HubSpot white label services are built around these checks. Work runs under an NDA, documents arrive in your branding, and the files belong to you at the end.
What Red Flags Mean You Should Walk Away?
Walk away when a company will not put in writing what it says out loud.
- It will not sign an NDA before it sees your client's details.
- The contract says nothing about who owns the finished work.
- It cannot tell you who will do the work.
- It promises guaranteed results but will not write down a scope.
- It contacts your clients without asking you first.
FAQs
What is a white label company, and is it the same as a staffing agency?
No. A white label provider delivers a finished result under its own management, and you sell that result under your name. A staffing agency places people who work under your direction. With staffing, you manage the work and carry the delivery risk. With white label, the provider manages the work.
How much do white label providers charge?
They price by the hour, by the project, or on retainer. At HubXpert, on-demand work starts at $50 an hour with a 10-hour minimum, and steady volume can move to a custom model. Compare the full cost to deliver, not just the rate. A low rate with long rework costs more.
Do I have to tell my clients I use a white label provider?
There is no single rule. Check your client contracts first, because some name who may touch client data. Do not tell a client that your own staff did work they did not do. A lawyer can tell you what applies in your state and industry.
Can I use more than one white label provider?
Yes. You can split work by skill, for example one provider for HubSpot builds and another for SEO. The cost is more contracts to manage and more people with access to client data. Give each provider only the access its job needs, and keep a list of who has what.
Final Thoughts
Pick one upcoming project and write its scope in half a page. Send that scope, plus the six contract terms above, to two companies. Then compare what comes back. The one that answers in writing, asks smart questions about your client, and signs your terms without a fight is the one worth a pilot.
So which is the best white label company? The one that survives that process, not the one at the top of a list.
